Study Hours

Automatically track member study hours in different pre-approved locations

Academic progress is vital to any fraternity or sorority, and now with Greek Connect your chapter can improve academic accountability.

By tracking study hours of members, officers can improve your the academic success of a chapter. Greek Connect's Points feature allows members to track their location while they are studying, and earn points based on their progress. Chapter officers can set goals and view the results of how much each member is studying.

Setup

Go to the Points page of Greek Connect. Then, click to start creating your new Points system.

Point Conversion

Each points system in Greek Connect lets chapter members earn generic points, and requires officers to clarify with members what the value of a point is.

For study hours, chapters are advised to start with either each hour equaling ten points or each minute equaling one point. Decide what is best for your chapter and then keep this in mind for later.

Fields

  • Name: The name you want to use for your new points system (such as Study Hours).
  • Membership
    • Automatic: Set the visibility of the points system, members with a status not included in this list won't be able to view the points system or participate in earning points.
    • Custom: Specify which members can view the system and earn points.
  • Type
    • Goal: Members will try to reach a goal number of points. This is recommended for cases where chapters have a set amount of points that each member will need to earn. If selected, you shall then enter the number of points that members are trying to reach.
    • Maximum: Members will try to earn as many points as possible. This is recommended for cases where not all members need to earn the same amount of points.
  • Show Rankings
    • Only to admins: Each member will be able to view how many points they have earned, but only chapter officers will be able to view how many points other members have earned.
    • Personal: Each member will be able to view how many points they have earned, and will also be able to see their placing in the chapter (ie the person who has earned the most points will see that they are 1st). Only chapter officers will be able to view how many points other members have earned.
    • Everyone: Each member will be able to view how many points they have earned, and how many points every other member has earned.
  • Allow Point Requests: When checked, members will be able to submit custom point requests with a title, description, point value, date, and photo. This is useful for when members can earn points on their own, such as studying outside of a designated zone.
  • Location Tracking: This is the primary feature used for study hours tracking.
    • Locations: Each location (up to 9 allowed per points system) is selected by using the search field and then selecting the designated location. You can click and drag the pin to adjust as needed. We suggest you add libraries and other popular study locations around campus.
      • Name / Search: The name displayed to members when selecting a location to study.
      • Radius: The distance away from the pin/center that a member can be and still earn points for studying there.
      • Point Reward: The amount of points they earn while studying in this location. This is when your chapter's point conversion comes in. If your system will award members 10 points per hour, you will select every 6 minutes. If you are providing members 1 point every minute, you will need to adjust as needed. You can also round up or down if desired.
  • Links: Provide any links you may have for by-laws or other instructions regarding study hours (if applicable).
  • Description: Provide any details that you may have about study hours. This is a great location to explain how point conversions work for members and to provide details about deadlines.

Earning Points

Members can now earn points by tracking their location or submitting a custom point request (if "Allow Point Requests" was checked during setup). In addition, chapter officers can manually modify each member's point history.

Location Tracking

Location tracking is only available via Greek Connect's mobile app. When members are ready to track their location, they can go to the View Points page and then click "Request Points" (and "Location Tracking" if shown). Then, they are allowed to select a location from which they would like to earn points for their study time. If they are not within the bounds of any location, they are still able to submit a custom request (with photo) if custom requests enabled.

Once their study tracking has started, they will continue to earn points for as long as they stay within the bounds and keep Greek Connect open. If they leave the area or close out, they will receive a notification letting them know that they need to reopen to keep studying.

When the member is finished studying, they can click "Finish" to conclude their study session.

Custom Requests

Members can submit custom point requests on any platform, by going to the View Points page and then clicking "Request Points" (and "Custom Request" if shown). From there, they can provide a title and description for the request, the date, point value, and an attachment as proof. From there, chapter officers can view which members have "Open Requests" and can view each one and approve, modify, or deny as they see fit.

Submitting custom point requests allow members to request study hours points for when they were unable to use Location Tracking (phone out of battery, not in a designated location, etc).

Manual Adjustments

Chapter officers can manually adjust member points by selecting them and modifying existing records or adding new ones. This is useful for cases where members ended up studying less or more than they requested points for, or if they forgot to submit a request for a study session.

Exporting

Chapter officers can download a CSV file of an individual member's records or of every member and their standings by clicking . This is useful if you want to keep a permanent record of the progress of each member.

Clearing

Chapter officers can clear all point records for a points system by clicking "Clear All Points". This is useful when your chapter has entered a new semester or if you track study hours by a smaller unit, such as weekly or monthly.

Now that you have learned how to setup study hours for your chapter, your chapter is one step closer to streamlining operations!
